Hi there, this is our second time using Sitelink, its much better than it was 7 years ago but still not perfect for us in the UK.

One of the issues we find hard to fathom is the many cases where you have to account for things outwith Sitelink, case scenario:

Customer moves out.

Operative does not click the prorate at move out button.

The customer is owed more money than Sitelink will allow to be refunded.

I refund the customer what they are owed (in reality).

I mark the refund in Sitelink (which is less).

Sitelink now shows I issued a refund for less than what will show in the bank.

When I transpose the General Journal Entries into my accounting software the Sitelink figures do not match reality.

I then have to have a journal in my accounting package to account for this, my clear audit trail is gone.


Would it not be easier to allow a credit to be created on the customer account to make up the shortfall, I mean it is auditable as in it can be marked in the notes and set up so as only a top end user can perform the function therefore closing the loophole to abuse?


I put this to Sitelink and it was as if I had asked for the back door to be left open so all and sundry could walk in and rob the place...


Am I mad or is there a consensus where this would be of a benefit?

    Curious, is this a requirement in UK to let people prorate the move out? In my years i've never seen a company here in the states that prorates move outs. I know now that I made that statement half the people on this forum will probably say they do it at their site lol.

    Here, we do not prorate out. When I lease a unit to a customer I explain that very firmly, because I do not want anyone coming on the 2nd of the month hollering about why they have to pay for a whole month? We also have it written in the lease!

    Even though it is in the lease that we do not prorate when they move out and that we require at lease 15 days notice, people constantly called on the last day of the month or the 1st of the new month to state they had moved out.  (I usually told them I needed to keep 1/2 of their deposit - but they still argued).  Now, I have a special place for them to sign on the lease just for that notice of intent to vacate.  No more arguments.

    I'm pretty sure that if your staff didn't click the prorate box, and performed the move out, you have 5 days to reverse the move out and "do it over".

    I cant quite remember the rules with the "reverse move out"; if a credit is performed Sitelink wont allow the reversal?

    Apologies if I'm wrong.

    -side note - When I asked Sitelink about editing or deleting tenant notes after staff adds... yeah, you would think I was planning on stealing the Mona Lisa! the response was a tersely written email spouting Loss Prevention.

    You are correct @teamcapitola, a move out can be reversed within five days as long as there were no refunds or payments applied at the time of move out.

    We do not prorate when they move in and we don't prorate when they move out. We are on anniversary date. We do allow a prorate for special need cases. But if we move out before a prorate has been issued we will move back in the prorate and then them move out.

    We prorate a move out, but we do not offer refunds.  Refunds cause an accounting nightmare.  We clearly state that we need a 10 day written notice, but that doesn't always happen.  Even though they sign and initial the clause in the contract.

    We are supposed to pitch "we bill on a per Diem basis and will pro rate move outs; less tax & fee's". However, the fine print will suggest, the customer has to ask for the refund....

    We do not prorate move out. Upon move in I make it clear that we do not prorate on early move out's. We've had a few complain, but then I politely pull their lease out and they will agree they forgot about that clause.
