Waiting Lists - Pros and Cons

Has anyone been successful in using a waiting list for units and parking spaces.  If so what form did you use.  We tried listing them as "Lead" in the reservations area but they soon became unmanageable.  We only take reservations 14 days in advance and are at 94% capacity.  Thanks!

    I wish SiteLink had an option on the Lead to Lease to put people on a wait list, but that hasn't happened yet. One of the ways we have been successful with a waitlist is to put them in as a lead and in the notes we type "WAITLIST" and then whatever size they might be looking for and what they plan on storing that way we can call them for several different sizes.

    We also try to find out when they would like it to expire because some people may be able to wait a while. I always let them know that the worst case scenario would be that we call and leave them a message saying we have something available and they either no longer need it or they have already found something.

    We have a word template someone made that we share between users. Nothing automatic, but it works for us, so far.

    We've been using a separate EXCEL sheet as a wait list. Trying to track in Sitelink is difficult, and we only add a reservation when confirmed from the wait list.

    The top "active" sheet lists sizes and client info for our wait list (that we actively work). Using various highlight colors to indicate whos next, whos been called/awaiting reply... etc. 

    We have a second "removed" sheet where we cut and paste anyone we take off the active list for whatever reason (along with a column stating that reason, date removed, etc..) this is now a very, very long list.

    Now, we can just Ctrl +F to search the "removed" sheet when somebody claims to have been on the list (which always happens) and wants to know why they were removed, or if they were "mistaken" and were never on the list. Also good when you can say "we called you on xx/xx @ x pm and offered it to you. 

    We tell people that their name will stay on list for 30 days, at which point it'll expire unless they contact us to reset it. If we call them to offer, they have 24 hours to "claim" the reservation otherwise it gets shifted to the 2nd sheet and we move to next client on list.

    This is the closest to "manageable" we have found. Our location has had a 2-3 month wait list on everything above 5x10 since 2018!

    I simply use SiteLink's Lead to Lease function. Get all potential tenant information and then the timeframe in which they need a unit. If it gets to a point where the time has expired, I always contact to see if they found something, or would like to remain on the list. Don't see a need for anything separate when Lead to Lease works just fine.
