How do you handle this situation?

A customer moved into an outdoor Rv parking space. prorate movein on the 2nd of the month with an admin fee of $25 and a refundable deposit for the gate key of $25. Five days later she texts me and said their not going to use the space.

I said once you return the key I will process your move out and send the request for the $25 refundable deposit for the key

The key was dropped off on the 12th. 
She received her check and she texted me yesterday asking why she didn't get her full refund and only received $25 for the key deposit. I never told her she would get a full refund, so she assumed. 

I was told when I started that if anyone moves in and decided not to keep it after paying, there are no refunds. 

Within reason, If its just a couple days and they bring it to my attention in the beginning, I have no problem canceling the move in and refund them the full amount. 

Other wise i feel we lost out on a rental for another possible tenant if we refunded her the full amount. We do not prorate move outs.

How do you all handle this type of situation? Thx

    I would have done the same thing. If it is a day or two that is one thing.

    You did the right thing.  That space was in her possession whether she used it or not.  She rented it for a month!  She was only entitled to the key deposit.
