Reporting vacant units

Hi! We use the human method of reporting vacant units, which means we have to rely on the knowledge and memory of staff to do lock checks and come back and report the units that were found vacant. This has proven to be extremely difficult with trainees. They don't report the correct unit, and then office staff moves out the wrong unit. some of them have atrocious handwriting which then has to be deciphered by office staff. I'm reaching out to see if there is a different way, something we haven't thought of? My husband and I have been at this facility for 12 years, we are in sync, if he reports a unit that I think is incorrect I will ask him to check again, the problem with my staff is that they don't have the ability to notice something doesn't seem right. Help!
